Who are you, and what do you do?
AI Workflows Studio (legally known as VARQ Sp. z o.o.) is a family-owned business based in Poland, established in Warsaw in June 2025. We focus on optimizing business processes through the implementation of artificial intelligence (AI). We offer flexible solutions — either tailored to the IT tools you already use in your daily work or capable of operating autonomously without requiring complex IT infrastructure.
We work remotely. We usually communicate in English, but by prior arrangement, we can also communicate in German, Spanish, French, Italian, Polish, and Russian.
Who is this for?
First and foremost, those whose businesses are overwhelmed by a multitude of routine, repetitive tasks should consider the potential of AI: real estate development, the sale of high-cost machinery and equipment, and similar businesses with long sales cycles, where deals are preceded by numerous negotiations, approvals, expert assessments, clarifications, and the obtaining of permits, and the process itself is characterized by multiple stages, the involvement of many people and/or companies (institutions), as well as the high cost of error. How does the free process audit work?

- 03You will receive a written comment — Specific steps you can take. If the task isn't too complicated, you can certainly implement the plan on your own. And if you'd like to enlist paid support, proceed to step 4.
- 04Decide what to do next — We offer the simplest, most sensible option: do it yourself, pay for a consultation, or hire us for a pre-agreed scope of work. For paid work, we agree on a fixed price before we begin.

How much does it cost to implement AI?
Every project starts with a free process audit — it helps determine whether it’s even worth taking on paid work.
Paid work is carried out based on a pre-agreed scope, and we provide a quote before we begin — you’ll receive a fixed estimate after the audit, so there are no surprises on the invoice. No obligations and no hard selling.
How soon will results appear?
It depends on the task: some things can be launched quickly, while others require more work. We’ll estimate the approximate scope together with you during the audit, so you’ll know what to expect even before making a decision.
Will I have to replace my current software?
Usually not. We work with what you already have — Gmail, Outlook, Microsoft 365, CRM, Notion, Calendly, and hundreds of other services. In rare cases, it really is worth switching tools — in which case, our audit report will include a corresponding recommendation and explanation. This means you’ll find out about it before signing the development contract and will be able to assess the feasibility of the switch and the associated costs well in advance.
Is it true that once the system is implemented, I'll be left to figure it out on my own?
The system belongs to you, and you can manage it yourself — with the documentation provided. Alternatively, you can entrust the maintenance and development of the system to us.
Can I do this myself?
You can proceed according to the plan recommended in the audit report. Of course, you can also entrust the implementation to us.
Will AI be useful to a team of five people?
Yes, when it’s actually solving a real, recurring problem — not just tacked on for show. Small teams often benefit the most: every hour returned to the owner represents a significant portion of their total resources.
Can you help me with the tools I'm already paying for — like ChatGPT or Claude?
Of course. The biggest benefit comes from using them effectively: providing good context, ready-made prompts and scenarios, and connecting them to your data. We’ll advise you on what to implement first and what you can skip.
